Post 119: What is a Jotform and what is a Call for Art?

What is a Jotform? What is a Call for Art?

A "Call for Art" - an artist learns this one quickly. And no it is not a, "YOO-WHOOO, ART?" This is a notice of an art project upcoming that gives artists the information they need to know and inviting them to respond so that their submitted art can be considered to be on display for that project. In other words, it is a way to show off your art.

Its intuitive drag-and-drop user interface makes form building incredibly simple, and doesn’t require you to write a single line of code. Using Jotform, you can create and publish forms, integrate them into your site, and receive responses by email."

Next, you will ask me why we need to know this, right?

PWAS Juried Art Events

The artists of the Prince William Art Society (PWAS) have been given the wonderful opportunity to be a part of Open Space Arts (OSA) at Stonebridge in Woodbridge, just up from Wegmans. Artist members volunteer for the art gallery shifts and PWAS gets a percentage of all sales. But that does not guarantee every artist a spot on a wall.

While many of the PWAS member exclusive events are available for any active PWAS member to display their artwork are not juried, at Open Space Arts, artists from all over Prince William County and the various art and photography groups will be sent a "Call for Art" via a Jotform. Although all artwork at every event and/or gallery should follow the PWAS Display Guidelines, the Open Space Arts gallery will only hang art that has been juried. This means that they are selected to appear. Please see A Juried Art Show Blog Post
 
Therefore, a good way to manage the Call for Art entries is a Jotform which has been created. The details of the Show, the instructions for the Call for Art will be on the top of the form including what should be submitted, the number of pieces requested, the start and the DUE DATES to submit art for the show. Some information is absolutely required in order to consider your entry. 

When a Call for Art is received, you should enter the MAXIMUM number requested of your best pieces. The artwork should be FOR SALE. You will not enter more than once, so if the gallery requests 6 large pieces, 5 small pieces, and 5 mini pieces (or whatever configuration) you are urged to ENTER that many pieces if you have enough of the criteria that fits!

Complete the Form in Full

Prince William County has some outstanding artists. We have seen it. Give yourself the best chance to be selected by entering the maximum number of entries of your best work and giving the Jury interesting information about yourself and your art. I have been in several juried art shows so far and not all of my entries have ever been selected. Sadly, it happens.
 
Enter the your details, an image of yourself and those so important details about your artwork in full. Price your ARTWORK accordingly. See the recent blog post on Pricing Your Art. I would also suggest the blog post Naming Your Art.
 
Also note, for Prince William County artists and art groups, there is no entry fee to enter an OSA Show, however, Prince William Art Society will keep a small fee of 15% of the sale of the artwork.

The Jury Committee

    PWAS has a select Jury Committee to review all art entries. The purpose of having a juried art show can be varied, but our main idea is to ensure that the quality of the fine art on display is exceptional, fresh, inspiring and diverse. It is the best of the best. If any categories or themes are requested in the Call for Art, the artwork will always be juried to ensure that the art meets the criteria desired.

    The Jotform of the art entries will be reviewed by the entire committee online and they may have a final in person group meeting for finalization of the selections.
     
    All decisions are final and the winners are notified.

    It is indeed an honor to be "juried into" an art show. You do get bragging rights for it! Spread the word to your family and friends of the dates your art will be up and on display - invite them to come see what you do! Get on your social media and let people know when you will be at the gallery!

    Next up, you need a day to bring your selected art to the gallery.
     

    The Hanging Committee

    The PWAS OSA Jury or Hanging Committee will state the day(s) and time(s) for the juried art pieces to be dropped off at the Stonebridge Open Space Arts (or when the winners are announced, the instructions will be included). These dates and times must be strictly adhered to. IF for some reason you cannot drop your art off, you MUST speak to the Hanging Committee prior to the due date to make other arrangements. Art brought in after the posted time will NOT be accepted.

    When dropping off and picking up artwork, you will be requested to sign-in or to sign-out your artwork. These are procedural standard operations at galleries.

    The Drop-off day arrives and the Hanging Committee meets and greets the juried artists and begins the task of getting the PWAS art show arranged on the walls - artistically of course.

    *I should note here that winners may have X number of entries accepted to display and one of the paintings -might- be a "back up painting". This is to allow for the best fit for the final display. I do believe that over time in using the gallery, we will get the space allowance configuration better perfected. It does depend on the total canvas sizes and the number of artists that enter per show. If spacing doesn't work for the back up painting, we'll ask for you to pick up that painting ASAP.

    Pick up dates when the Art Show has run its course should also be treated in the same manor; please advise the Hanging Committee prior to the pickup date if you cannot pick up your art on the stated day/time! Please note that in some galleries, after a period of time, if artwork is not picked up, they sell the art and do not split the sale with you for abandoned art. A for-your-information thing.

    At the last Stonebridge event, the artists were requested to come at closing time on the last day of the show and retrieve their unsold pieces directly off the walls which did work well. Each person is responsible for their own packing and/or wrapping and materials for their own work for transportation of course.
     

    Frequently Asked Questions:

    1. I paint in mixed media, can I submit art?

    Absolutely! We have artists that paint in only oils, only acrylics, only watercolors, only pastels, and ONLY in mixed media! Sculptors and other fine arts can be considered as well. Prince William County - show us what you got!

    2. Can I submit abstract artwork?

    Another absolutely! We have many artists that specialize in abstracts, paint pouring and everything in between.

    3. I paint the human figure, can I enter nude paintings?

    OSA and CCA are both family friendly galleries, so we request that your subject matter should follow suit (or dress).

    4. If my art is sold, will it be taken down and carried out that day or at the end of the show?

    A good question and one I had to find the answer to. We have done it both ways in previous events where sold items were picked up at the end of the show OR taken that day. This is when those red dots come in handy at art galleries. The art label with a red dot means that it has been sold.

     *In answer to the question, the Jotform will state that all artwork must be for sale and must remain on display for the duration of the show unless it has been purchased. Our policy has been that if a piece has been purchased and removed by the new owner, we give that artist the opportunity to "replace" that artwork, hopefully of a similar size/style to fill that space. Be sure and check with OSA about replacement art.

    5. Can I reenter art that was previously shown at Stonebridge Open Space Arts?

    This is a question I needed to ask because I wanted to know! Honestly, the OSA gallery is new for PWAS although we did get to use it in Nov and Dec 2021 for a few weekends. We will be having plenty of procedural discussions and blog posts and more information will come out as we need it to.
     
    *The answer will be that art from previous shows can be reentered as long as it is not appearing in sequential PWAS shows - with the exception of the Nov/Dec 2021 and the upcoming April 2022 show. 

    6. Do I need to be a member of the Prince William Art Society to enter my art?

    All these questions! Ok, for Clearbrook (CCA), yes you do. For Stonebridge OSA, well, not necessarily is my best answer at the moment. 
     
    The hours at CCA is open are Saturdays and Sundays 1 to 4pm for the artwork of PWAS members, and is staffed by PWAS members.
     
    *We are including artists and art groups in Prince William County when a call for art goes out. This is quite important: Our policy has been that if you have artwork on display with PWAS, you must also volunteer some time to work the desk and you will be trained to do so. Scheduling will be managed for each show with a minimum of at least 2 persons. 
     
    Tentatively the hours to start at OSA are Wed - Sat 12-7 and Sun 12-5 and we will need to be flexible to make changes with advance notice. Occasionally the Stonebridge shopping area has events that draw in large crowds! 
     
    We will probably split those shifts up, and the number of shifts for the volunteers to be at OSA will depend on the number of artists that are displaying art.
     
    So, in answer, no, you do not need to be a member of PWAS of OSA, but as you can see though, with PWAS having 2 galleries to display member art plus the art events we do, we have a lot of art opportunities available...hint-hint.

    7. Is there a minimum age for the artist to enter the show?

    At this time yes, the minimum is 18 because the artists that have art on display will also need to volunteer time to work the front desk. There may be art shows at a later date when we work with the school systems to display student's art.

    *We will have more guidelines as we go forward, so please watch for updates.

    There is a LOT of ART happening this year in Prince William County! Come to our meeting on Monday to find out more.

    Where?

    Tall Oaks Community Center, 12298 Cotton Mill Dr, Lake Ridge, VA 22192 on Monday, February 28, 2022 at 7:30 - the Prince William Art Society (PWAS) will hold its first group meeting of the year and there is a much to discuss!
     

     

    Guest Speaker

    Following the business portion of the meeting there will be a program featuring Fine Artist Janet Hansen Martinet, whose watercolor paintings are both spare and rich. Ms. Martinet will share how she starts with an image - usually using one of her own photos and selects elements to include or delete for a stronger composition.     Post 116: Happy President's Day! Patriotic PWAS Member Art

    Happy President's Day!

    In honor of President's Day, this blog post is of a few paintings by the Prince William Art Society's members of a more patriotic theme to celebrate the day.

    "Mount Vernon" by Donna Liguria. Acrylic 11x14 is of course, the home of George Washington, our first President. Found in Fairfax County, Virginia on the bank of the Potomac River. 
     
    The first painting in my Historic Homes in Virginia Series.
     
     
    "Monticello" by Donna Liguria, Acrylic 11x14 is the home of Thomas Jefferson, in Charlottesville, Virginia, who was the third President of the USA. 
     
    The second in my Historic Homes in Virginia Series. Painting a reflection means you paint it twice in the same painting.

    The home is of course, not a President's home but is the home of Virginia's Governors since 1780, in Richmond, Virginia. It is also known as the "Executive Mansion". It is the third painting in my Historic Homes in Virginia Series.

    The home of George Mason who was not a President either but he was politician and delegate to the US Constitutional Convention. He is considered the father of the United States Bill of Rights. His home is near the Potomac River in Mason Neck, Virginia in Fairfax County. This is the fourth painting in my Historic Homes in Virginia Series and is almost finished.

    Post 115: Pricing Your Artwork

    Pricing Your Artwork

    The biggest question, and the hardest answer to come to, is when an artist decides to sell his or her artwork and they ask themselves, "How much do I charge for it?"

    Sure, you can charge ANYTHING you want for your artwork, but the point is, how do you price it to SELL? It is just as easy to under price it as well as to over price it, but how do you get to a FAIR price for it? May I dare say, a reasonable price for it?

    How Much is Your Time Worth?

    Whether you decide to put a price tag on your artwork because you want to make a living from your art or you are tickled silly that someone just wants it, at a minimum you should have an idea of a fair hourly wage for yourself and what did it cost you to create it? That equals:

    Hourly Wage x Time to Create the Painting + Cost of Materials = $?

    That's only a starting point. Obviously, a newer inexperienced artist will be at a bit lower hourly wage than a long-time more experienced professional artist that has been selling art for years.

    There are a few things to do to come to a reasonable price and we'll go through them here. 

    1. Keep track of how much time it takes to do the work. You'll also need that information when building a proposal if you are asked for commissioned work so that you have an idea how to price that work too.
     
    2. Keep track of your cost of materials. Obviously, look for the best prices for the best quality of materials you can afford, but if you come across a sale or free art supplies (!), you don't necessarily have to pass along those savings in the artwork price. What would older art supplies have cost you in TODAY'S purchase prices?
     
    3. Are you selling outright as an independent artist or in a gallery, in an artist group, at an event, or on something like Etsy? You will need to figure in fees, costs and their cuts that help to have your artwork seen in the first place.
     
    In other words, are you selling:
    Wholesale - Will you be selling directly to your customers?
    Retail - Will you be selling through an art gallery or art group? Know what their fee structure is. If you are lucky, it could be as low as 10-15% of your posted price OR it could be upwards of 50-60%.
     

    Do Your Homework

    We are not recommending you to "compare" your art to someone else's work but we are suggesting to research comparable artwork and see what they are charging for their work - and hopefully they are a selling artist as well.  
     
    Go to your local art galleries and art shows and see what's selling. (By the way, those red dots on the label mean that the work is sold.) Or look at some of the online art sites and find work that is of similar style and medium to see what they charge. Find 3 or more artists that are painting pieces similar to what you do and get an average. Take note of course of the size, medium, canvas, if it is framed or not.
     
    For the beginner artist, an important consideration is your talent, your skill level, your current position in the art world. By doing your artwork homework, this will give you a ballpark of where you may be able to step in.

    An aside from these notes is to understand what most of your audience's location/area, show, or gallery will support or spend. As an extreme example, a known gallery in New York would have higher priced artwork than a small art show in a small town somewhere.
     

    Cost of All Materials

    What are the cost of all the materials you used to create your art piece?

    All Cost of Materials: Canvas (Paper, Board, etc), Gesso, Paints (Acrylics or oil, Watercolor or Pastels, Inks, Markers, etc), Varnish, Fixatives, Wiring, a Frame - etc. 

    Speaking of Frames: DOUBLE the price of your frame when adding to the art price so that you recuperate your time and expenses, matting etc.

    Look at Other Costs: these can include a percentage of your website hosting for the year, travel expenses to get to the show, art fees to enter the show, and/or percentage of sales to the art group or gallery. Realize that there are hidden costs too which could be your art space, heating, cooling and water bills, etc.

    What did you pay for the printing services for those art prints? 

    Did you purchase art equipment - say a printer, weight scales, or an easel to paint that giant canvas?

    What will you be paying for shipping to send the artwork across the country or across the world? The size of the artwork can potentially wildly add to your costs. Consider total weight and distance, shipping materials, label, postage. 

    Also include the applicable taxes or duties, especially if allowing "free shipping".

    See, there is potentially a lot that went into making that artwork.

    Charge per Square Inch - here is a look at how per square inch would play out. I don't recommend starting at under $2.00 psi - it's there to see.

    Some Do's and Some Don'ts

    • Do be consistent in your pricing - and don't have the same artwork listed at different prices in different locations.
    • Don't sell yourself short, cover you costs!
    • Do know your experience level as a starting point.
    • Don't put artwork "on sale" for the most part (for consistency) - your artwork should slowly go UP over time as you grow in experience and art sales.
    • Do document all of your sales and track your expenses. 
    • Comparison shop and purchase your art materials on sale and at the best price whenever possible.
    • Do try placing certain pieces in specific places, especially if you have the inventory to manage that. Perhaps your larger pieces for gallery events, some medium sized works for art shows and smaller, easier to ship sized for online sales as a suggestion. Do what works for you of course, but experiment to see what works best too.

    This is a big subject, so I do recommend the following videos and web links so that you can be fair to yourself, to your potential buyers, AND actually to your fellow artists. Those artists that price their artwork terribly low don't do justice to the value of anyone's art.

    The Individual PWAS Member Art Events will be posted on or about, the first and the fifteenth of the month. Any of the PWAS (group) Events upcoming - these PWAS Art Shows, Meetings, etc will be posted, reminders posted, and recaps of the PWAS group events will be posted more often, or as needed.

    The upcoming Prince William Art Society events and goings on...

    1. Stonebridge - Open Space Arts (OSA)

    There is now a "Call for Art" open to all Prince William County Artists - so if you are a member of PWAS, PWCAC, MAG, or another PWC art group - you should have been sent an email for the Call. The final day to enter is March 19 so contact sm22026@comcast.net for the form. The Show is scheduled to start on April 2.

    Stay tuned for this one - definitely all the artwork for OSA will be juried - so your best works will need to be ready for this!

    2. PWAS Meeting - February 28, 2022 at 7:30 pm at the Tall Oaks Community Center

    12298 Cotton Mill Drive. Woodbridge, VA 22192

    3. ArtFactory in Manassas, Virginia - May 4 to June 4, 2022. It's actually never too early to start preparing for an art event (especially depending on what medium you use), so keep this art show in mind.

    5. Clearbrook Center of the Arts is open every weekend from 1 to 4 so stop in to see the art at 12298 Cotton Mill Dr, Lake Ridge, VA 22192. The new 'south of the border" restaurant Hector's of Lake Ridge is nearby!

    What if your computer or phone stopped working? The dag-on machine just goes kaput. And wouldn't you know, all of your images of all the artwork you ever created are on it.

    I have had computers, phones and other technology die in the past and if you haven't yet, at some point - you will too. Smart phones and other technology isn't so smart at that point, is it? That's when I call my smart phone, a smart--s phone.
     
    Not that long ago, a friend was telling the story of how his computer had gone to its untimely death and all of the images he had accumulated over the years were on that PC. He was able to recover some images from various places, but some things were lost forever. Think about that, images of artwork you used for prints, templates, advertising, promotion, besides all your documentation - GONE.

    Cue the "uh-oh". Talk about a heart attack...

    Save yourself the panic, the stress, your spouse's ears, and the loss by saving your work. How?

    Back up your computer, each computer at least every 6 months (or other device). If you create a lot of artwork, do it more often. Images on your phone? I have my Android connected to my PC so I move the images I want to there, so its easy for me to organize the art photos. 

    Where do you back up your data?

    External Hard Drives and USB Memory Sticks

    The reviews on the Western Digital My Passport Hard Drive were good, see LINK so off to Amazon I went (currently $69.21 for 2TB, and the next day I had the WD My Passport. Thank you Mr. Bezos.
     
    Image files are big, so get the biggest one you can afford though, especially if you take a ton of photos.  While a hard drive of 3 or 4TB is bigger, a lot more expensive, but definitely a business expense, in my humble opinion. All of those art images must be preserved.

    I also have a SanDisk Cruzer USB 2.0 Flash Drive that I plan on backing up my main photos to ASAP.  Those will be for the ones that may go to a print shop.That's the plan anyway.

    There are other options though, so explore those. There is Cloud Storage, One Drive, and there are other free and paid services too. But it comes in handy to take the backup hard drive and put it in your fireproof safe or bank safety deposit box so you KNOW you can get to your artwork images if and when disaster happens.
